Location: In-office position in our Richmond Virginia branch.

The primary role receptionist and/or secretarial support to contribute to the overall efficient operation of the Company.

Principal Job Duties and Responsibilities:

  • Welcomes clients and visitors in a courteous and professional manner upon entry into the office.
  • Receives and directs incoming telephone calls and promptly routes them accordingly.
  • Manages the ordering and restocking of office and kitchen supplies.
  • Monitors and routes incoming faxes.
  • Coordinates storage retention and destruction with Iron Mountain.
  • Communicates with the property management team regarding facility maintenance needs.
  • Processes and distributes incoming and outgoing office mail ensuring timely delivery to staff and the mailbox each day. Maintains and monitors the returned mail log and follows up with outside branches accordingly.
  • Provides cross-functional support to Administration and Marketing by drafting correspondence as requested, preparing name or address change letters, coordinating mass client mailings and RSVPs and maintaining the contact database for clients and professionals utilizing Microsoft Word and Excel.
  • Performs various duties as backup for Operations including check printing/distribution, FinCen searches, SEC 13F searches, wire transfer approval and maintaining various audit logs.

Qualifications:

Must possess a friendly and welcoming personality and excellent communication skills. Must demonstrate professionalism, maturity and a proactive approach to responsibilities. Must possess a high level of initiative and energy with a commitment to accuracy and confidentiality. Proven ability to meet deadlines and consistently deliver high-quality work. Strong proficiency in Microsoft Office, particularly Word, Excel and Outlook. Must possess a good understanding of company policies and procedures.

Minimum of high school diploma. Additional business courses a plus.
